This Privacy Policy explains what personal information Tee Willow collects when you visit teewillow.com, place an order, ask for help or send us personalization text for a shirt; how we use that information; who we share it with; how long we keep it; and the choices and rights you have. Tee Willow is the business responsible for your information. Our business address is 100 Pleasant Court, Newport News, VA 23602, United States. If you have any question about your privacy, email support@teewillow.com and a person, not a bot, will answer within 1 business day.
We wrote this policy to be read, not skimmed past. It covers customers in all four of our delivery countries and anyone who simply visits the site. Each section starts with the short version and then gives the detail. Nothing here limits any privacy right you have under the law where you live.
Privacy at a glance
- We collect only what we need to print, ship and support your order, and to keep the site working and safe.
- We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
- Card and payment details are handled by the payment provider at checkout; we never see or store full card numbers.
- Personalization text, such as names and dates printed on a shirt, is used only to make your order.
- You can ask to see, correct, download or delete your information at any time by emailing us.
- We do not currently use third-party analytics or advertising cookies on the site.
1. Information we collect
Short version: the details you give us when you order or contact us, some technical information your browser sends automatically, and limited information from the services that process payments and deliver parcels.
1.1 Information you give us
- Order details: your name, email address, billing address, shipping address, phone number if you choose to enter one, the items you buy, their sizes and colours, and any order notes.
- Personalization text: names, nicknames, dates, pet names, titles such as “Grandpa” or “Big Sister”, and any other text you ask us to print on a garment.
- Account details: if you create an account, your login email, a password stored only in scrambled (hashed) form, and your saved addresses and order history.
- Support messages: whatever you write to us by email or through our ticket page, plus any photos you attach, for example photos of a damaged garment or a misprint.
- Return and exchange information: the items you are returning, the reason, and return tracking numbers.
- Reviews: if product reviews are enabled and you write one, the review text, rating, name you choose to display and email address (the email is never shown publicly).
1.2 Information collected automatically
When you browse the site, your browser automatically sends technical information such as your IP address, browser type and version, device type, operating system, language setting, the page you came from, the pages you view and the date and time of your visit. Our web server and our content-delivery and security provider record this information in logs so the site can be delivered quickly and protected from abuse. We also use a small number of essential cookies, described in section 5, to keep your cart and checkout working.
1.3 Information from other parties
- Payment providers tell us whether your payment succeeded and give us limited details such as the payment method type and, for cards, the last four digits and expiry month. They never give us your full card number or security code.
- Shipping carriers send us tracking and delivery status updates for your parcels, including delivery exceptions and proof-of-delivery scans.
- Production and fulfilment partners that print and pack orders may tell us about production status or problems with a specific item.
1.4 Information we do not want
Please do not send us payment card numbers, passwords, government ID numbers or health information in support messages. We never need them to help you. If you send something like that by mistake, we delete it from our systems as soon as we notice.
2. How we use your information
Short version: to make and deliver what you ordered, to help you, to keep the store safe and legal, and, only with your permission, to tell you about new designs.
- To fulfil your order: printing your chosen design and personalization text on the right garment, packing it, shipping it to your address and sending order, shipping and delivery emails.
- To handle returns, exchanges, refunds and cancellations under our Returns & Exchanges Policy and Refund Policy.
- To provide customer support: answering questions, investigating lost or damaged parcels with carriers, and reviewing photos of print problems.
- To keep the site secure: detecting and preventing fraud, spam, bot traffic and attempts to break into accounts.
- To meet legal obligations: keeping tax and accounting records, responding to lawful requests and enforcing our Terms of Service.
- To improve the store: understanding which pages load slowly or cause errors, using server logs rather than tracking tools.
- To send marketing emails, only with consent: we do not currently send a newsletter. If we start one, we will ask before adding you, and every marketing email will include a one-click unsubscribe link.
We do not use your personal information to make automated decisions that have legal or similarly significant effects on you, and we do not build advertising profiles about you.
2.1 Legal bases for visitors from the UK and European Economic Area
We sell to the United States, Canada, Australia and New Zealand, but anyone may visit the site. Where the UK or EU General Data Protection Regulation applies, we rely on: performance of a contract (processing and delivering your order, handling returns); legitimate interests (keeping the site secure, preventing fraud, improving the store, responding to messages you send us); consent (any future marketing emails and any non-essential cookies); and legal obligation (tax, accounting and lawful requests).
3. Personalization text and photos you send
Personalized shirts are a big part of what we do, so we want to be clear about this kind of information. Text you enter for personalization, such as a child’s name, a family surname or a memorial date for a pet, is used only to print your order, to check that it was printed correctly, and to fix it if something went wrong. We do not use personalization text for marketing, we do not publish it, and we do not reuse it in designs for other customers.
Photos you send for a return or a misprint claim are used only to resolve that claim. If a photo shows people, please crop or blur faces if you prefer; we only need to see the garment and the problem.
If you order a personalized item for someone else, please make sure they are happy for their name to be printed. Names on shirts are visible to anyone who sees the shirt, so think twice before printing full names together with ages or locations for children.
4. How we share information
Short version: only with the companies that help us run the store, only what they need, and never for sale.
We share personal information with service providers that act on our behalf and may only use it to provide their service to us:
- Production and fulfilment partners receive the garment details, design, personalization text, your name and shipping address so they can print and ship your order.
- Shipping carriers receive your name, shipping address and, where needed for delivery, your phone number or email address.
- The payment provider shown at checkout receives the payment details you enter directly into its secure form, together with your billing address and order amount.
- Website hosting and content-delivery providers store the site and its database and route visits to it, which means they process technical data such as IP addresses.
- Email providers deliver order, shipping and support emails.
We may also disclose information if the law requires it, for example in response to a valid court order; to protect the rights, property or safety of Tee Willow, our customers or others; to investigate fraud; or as part of a business transfer such as a merger or sale of the store, in which case this policy continues to protect your information.
We do not sell or rent your personal information. We do not share it with data brokers, and we do not share it with advertising networks for cross-context behavioural advertising.
5. Cookies and similar technologies
Short version: we only use the cookies needed to run the cart, checkout and accounts.
Cookies are small text files stored by your browser. Our store software sets essential cookies that remember what is in your cart, keep your checkout session together and keep you signed in if you have an account. Without them, the cart and checkout cannot work, so they are set without asking. Our content-delivery and security provider may also set a short-lived security cookie to tell real visitors apart from automated attacks.

If we ever add analytics or advertising tools, we will update this table first and, where the law requires, ask for your consent before setting those cookies. You can block or delete cookies in your browser settings at any time; if you block essential cookies, the cart and checkout will not work.
6. How long we keep information

When information is no longer needed, we delete it or make it anonymous so it can no longer be linked to you.
7. How we protect information
The whole site is served over encrypted HTTPS. Administrative access to the store is limited to the people who need it to run the business, protected by strong passwords, and kept up to date. Payments are processed by the payment provider’s own PCI DSS-compliant systems, so card numbers never pass through our servers. No system can be guaranteed completely secure, but if a security incident affects your personal information, we will tell you and the relevant authorities when the law requires it, and we will explain what we are doing about it.
8. Your rights and choices
Short version: you can ask what we hold, have it corrected or deleted, get a copy, and say no to marketing, wherever you live.
We give every customer the following rights, regardless of location, and some laws give you additional rights:
- Access: ask what personal information we hold about you and receive a copy.
- Correction: ask us to fix anything inaccurate, such as an old address.
- Deletion: ask us to delete your information, except what we must keep for legal or accounting reasons.
- Portability: receive your order information in a common, machine-readable format.
- Objection and restriction: ask us to stop or limit certain uses of your information.
- Withdraw consent: where we rely on consent, you can withdraw it at any time.
- Opt out of sale, sharing and targeted advertising: we do none of these, but you may still send us an opt-out request and we will record it.
To make a request, email support@teewillow.com from the email address linked to your order or account, with the subject “Privacy request”. We may need to confirm your identity, for example by asking for an order number and billing postcode, before we act. We respond within the time the law requires, and in any case within 45 days. If you use an authorised agent, we may ask for proof that they act for you. We never charge you, refuse service or offer a worse price because you exercised a privacy right.
8.1 United States residents
Residents of states with comprehensive privacy laws, including Virginia (where our business is located), California, Colorado, Connecticut and others, have rights to know, access, correct, delete and obtain a copy of their personal information, and to opt out of the sale of personal information, targeted advertising and certain profiling. As explained above, we do not sell personal information or use it for targeted advertising. If we deny a request, you can appeal by replying to our decision email with the subject “Privacy appeal”; we answer appeals within 60 days and explain how to contact your state attorney general if you disagree.
8.2 Canada
Under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial laws, you can access and correct your personal information and withdraw consent, subject to legal and contractual limits. You can also complain to the Office of the Privacy Commissioner of Canada.
8.3 Australia
We handle personal information of Australian customers in line with the Australian Privacy Principles. You can request access to and correction of your information, and if you are unhappy with how we handled a complaint, you can contact the Office of the Australian Information Commissioner.
8.4 New Zealand
Under the Privacy Act 2020, you can ask for access to and correction of your personal information. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner.
9. Your privacy choices: do not sell or share
Some websites let visitors opt out of the “sale” or “sharing” of personal information because they pass data to advertising partners. Tee Willow does not do this. We do not sell personal information, we do not share it for cross-context behavioural advertising, and we do not use advertising cookies or tracking pixels on the site.
If you still want to record an opt-out request, email support@teewillow.com with the subject “Do not sell or share”. We record it against your email address so that, if our practices ever change, your choice is already respected. We also honour browser-based opt-out signals such as Global Privacy Control as a valid opt-out request.
10. Emails we send you
Placing an order means you will receive a small number of service emails that are part of the purchase, not marketing. They include the order confirmation, a shipping confirmation with tracking, messages about delays or problems with an item, replies to your support requests, and confirmations of returns, exchanges, cancellations and refunds. These emails are necessary to deliver your order, so there is no unsubscribe link on them, but we keep them short and only send them when something actually happens.
We do not add you to any promotional list because you bought something. If we ever offer a newsletter, it will be a separate, clearly labelled sign-up that you choose to join.
11. Guest checkout and accounts
You do not need an account to buy from Tee Willow. If you check out as a guest, we keep the order record described in section 6 but no login. If you create an account, you can see your orders, save addresses and speed up future checkouts. You can ask us to close your account at any time; we then delete your login and saved addresses and keep only the order records the law requires us to retain.
Choose a password you do not use anywhere else. We store passwords only in a scrambled form that we cannot read, and we will never ask you for your password by email.
12. When someone orders for you, or you order for someone else
Gift orders mean we sometimes hold the name and address of a person who did not place the order. We use the recipient’s details only to print and deliver that order and to handle any exchange the recipient asks for. If you are a recipient and want your details removed after delivery, email us and we will do so, keeping only what the law requires for the buyer’s order record. If you place an order for someone else, please only give us the details needed to deliver it.
13. Children’s privacy
Our store is for adults buying apparel for themselves and their families. It is not directed to children under 13 (or under 16 where local law sets a higher age), and we do not knowingly collect personal information from them. A parent may of course order a personalized shirt with a child’s first name on it; that information belongs to the parent’s order and is protected like any other order data. If you believe a child has given us personal information, contact us and we will delete it.
14. International transfers
Tee Willow is based in the United States, and our service providers may process information in the United States or other countries. If you order from Canada, Australia or New Zealand, your information is transferred to the United States to process and ship your order. Privacy laws in the United States may differ from those in your country. Where the law requires, we use contractual safeguards with our providers to protect transferred information.
15. Links to other websites
Carrier tracking pages, the payment provider’s checkout pages, font services that display our typefaces, and any other external sites we link to have their own privacy policies. When your browser loads a resource from another service, that service receives your IP address as part of the normal way the internet works. We are not responsible for how they handle information, so please read their policies when you visit them.
16. Changes to this policy
We may update this policy when our practices, our service providers or the law change. The “Last updated” date at the top shows when it last changed. If we make a material change, such as starting to use analytics cookies or sending a newsletter, we will update this page before the change takes effect and, where the law requires, ask for your consent.
